This research paper presents the design and development of a College Leave Management System, a web-based application developed to automate the process of leave application, approval, and tracking in educational institutions. Traditional leave systems rely on manual paperwork, which leads to delays, data loss, and inefficiency. The proposed system provides a centralized platform where students can apply for leave, and administrators can review and approve requests efficiently.The system is developed using Java, MySQL database, and HTML/CSS, ensuring secure data handling and real-time processing. It includes features such as leave application, leave status tracking, admin dashboard, and user authentication. Future enhancements include notifications to admin and OTP-based password recovery. The system improves transparency, reduces paperwork, and enhances communication between students and administration.
Introduction
The College Leave Management System is a web-based application developed to replace traditional handwritten leave application processes in educational institutions. Manual leave management often leads to delays, miscommunication, misplaced records, and difficulty tracking approval status. The proposed system digitizes leave requests, enabling students to apply online while allowing administrators to review, approve, or reject applications through a centralized platform.
The system aims to improve efficiency, transparency, accessibility, and record management. Students can submit leave requests and check their status anytime, while administrators can manage multiple applications through a dashboard. The system reduces paperwork, minimizes human errors, enhances communication, and securely stores data for future reference. It is also designed to be scalable, with potential future features such as real-time notifications, OTP-based password recovery, and document uploads for medical leave verification.
The literature review highlights that although many educational management systems focus on attendance and student records, dedicated leave management solutions remain limited. Existing systems often lack scalability, strong security, real-time notifications, and user-friendly interfaces. The proposed system addresses these shortcomings by integrating authentication, database management, and future-ready enhancements.
The system follows a three-tier architecture:
Presentation Layer: Built using HTML, CSS, and JSP for user interaction.
Business Logic Layer: Implemented with Java Servlets to process requests and manage workflows.
Data Layer: Uses MySQL to securely store user and leave request data.
The workflow begins with user authentication. Students submit leave requests with details such as dates and reasons, which are stored as “Pending.” Administrators review requests and update their status to “Approved” or “Rejected,” which students can view through their dashboard. Security measures include password protection, session management, and plans for future encrypted communication.
Testing results show that the system efficiently handles multiple users simultaneously, processes leave requests quickly, and significantly reduces administrative workload. It improves data accuracy, record management, and user satisfaction through its simple and intuitive interface. The use of Java and MySQL ensures stability and reliability. However, the current version lacks real-time notifications and advanced analytics, which are identified as future improvements.
Conclusion
The College Leave Management System developed in this project provides an effective and efficient solution for handling student leave processes in educational institutions. Traditional leave management methods rely heavily on manual paperwork, which often results in delays, data mismanagement, and lack of transparency. The proposed system successfully replaces these manual operations with an automated, web-based platform that simplifies the leave application and approval process.The system allows students to apply for leave online using a secure login interface. Once submitted, leave requests are stored in a centralized database, enabling administrators to review, approve, or reject applications efficiently. This automation significantly reduces paperwork and minimizes human errors. Additionally, it improves communication between students and administrators by providing instant access to leave status updates.
