With the rising population of students in educational institutions, there has been a demand to offer effective and automatic hostel management systems. The old manual systems of managing the room allocation, attendance, fees, complaints and leave records are lengthy and subject to mistakes. This paper is a proposal of the design and deployment of a Smart Hostel Management System with the use of Android Studio and MySQL. The offered system is an Android based application that is written in Java and MySQL as a backend database. It offers secure user authentication and also allows administrators and students to digitally manage hostel operations via. functionalities like instant room allocation, tracking attendance and handling fees and complaints. The system improves openness, precision, and interaction and decrease the amount of administrative labor. This is the one that will be cost effective and scalable. Introduction
The text presents a Smart Hostel Management System designed to replace traditional manual and fragmented hostel administration processes in educational institutions.
It explains that existing systems rely heavily on paper-based or partially digital methods, leading to issues like inefficiency, lack of transparency, poor coordination, and difficulty in handling growing student populations. Even modern web and mobile solutions often remain disconnected, lack real-time updates, or do not integrate all essential hostel functions in one platform.
To solve these problems, the proposed system uses an Android-based client–server architecture with a MySQL database backend. The mobile application (built in Android Studio using Java) allows students and administrators to access services such as room allocation, attendance tracking, fee management, leave requests, and complaint registration through a single integrated platform. The server (using APIs like PHP) handles communication between the app and the centralized database, ensuring secure, real-time data exchange.
The literature review shows that while web-based, mobile-based, and cloud-based hostel systems improve efficiency, they still face limitations such as poor scalability, weak security, lack of real-time alerts, and incomplete feature integration. This creates a research gap for a secure, scalable, and fully integrated mobile-based hostel management system.
The methodology and architecture emphasize modular design, secure authentication, centralized data storage, and real-time synchronization between users and the database. This improves efficiency, reduces manual work, and increases transparency in hostel operations.
Conclusion
The offered Hostel Management Application will be a highly effective and credible tool of organizing the hostel-related process with the help of the newest digital technologies. The system has been successful in unifying an android based user interface and a MySQL database as a back-end to allow effective student record, student attendance, fee tracking and leave applications. This system promotes the minimization of manual paperwork, human mistakes as well as enhances transparency of the hostel administration. The results of the experiment have shown that the system is relatively efficient and fast in presenting the students and administrators with the necessary information. On the whole, the created application will allow improving the operation of the hostel and streamline the procedures of its management.
