Hostel management in many educational institutions is still handled using manual methods such as registers and spreadsheets, which often leads to inefficiencies, data redundancy, and difficulty in managing records. This paper proposes a Hostel Management System designed to automate and streamline hostel operations including student registration, room allocation, fee management, complaint handling, and record maintenance. The proposed system aims to improve efficiency, accuracy, and transparency in hostel administration. By implementing a web-based system, hostel authorities can easily manage student information, room availability, and other hostel services in a centralized database. The system also enables faster communication between hostel administrators and students. The implementation of the Hostel Management System reduces paperwork, minimizes human errors, and ensures better utilization of hostel resources. The proposed solution demonstrates how digital transformation can simplify hostel management and enhance the overall administrative experience.

Proposed System
The system is a web-based application with three modules:
Admin Module: Manage students, allocate rooms, handle fees, monitor complaints, and maintain the database.
Guest Module: View hostel information, facilities, rules, available rooms, and contact details.
All data is stored in a centralized database for easy access and security.
System Design
The system follows a three-tier architecture:
Presentation Layer – User interface (HTML, CSS, Bootstrap)
Application Layer – Business logic (JavaScript)
Database Layer – Stores all hostel data securely
This structure ensures smooth communication between users and the database.
Results and Discussion
The implemented system successfully automates hostel management tasks such as student registration, room allocation, fee management, and complaint handling.
